A new filing system for the Beach House
Something that I've been working on is getting more organized with the paperwork end of managing the rental of our Marquette Beach House. I had tried having a portable file cabinet in the kitchen for Beach House paperwork, but the reality is that the top of said cabinet is a holder for the dreaded... kitchen pile. Obviously, my plan has not been working very well.I read on the Happy Housewife blog some time ago that she uses notebooks for her filing system. I also read on a vacation rental owners' site that having your paperwork portable is a good idea. This works well if you happen to be travelling, as I guess vacation rental owners sometimes are. :)
So, putting both those ideas together, I bought a 3" notebook and 16 dividers yesterday. I had already done some of the legwork last week of pulling information about our guests off my Beach House gmail and PayPal accounts, and I put all the stuff into the notebook.
Here's what I have on the tabs (so far):- Current Guest Contracts
- Past Guest Contracts
- Guest Info
- Electric Bills
- Gas Bills
- Phone Bills
- Dish Network Bills
- Dumpster/Snowplowing Bills (together in one tab, since they're in opposite seasons)
- Upkeep
- Receipts
- Cleaning
- Sales Tax
I like the new system so far, and I can't wait to start adding the new stuff to it! I feel so organized!! :)
I do realize that probably none of my readers have a vacation rental home to manage, but it might be a good idea to try for other filing needs. I'm contemplating getting a notebook for managing the filing of our household bills here in Arizona.

I don't think I saw your menu when we were at your house. But, you are a genius to have been doing this for a few years!!
I think it will be great to only buy stuff we need for the meals we've planned. So many times when I get home from the store, I realize I've bought a lot of stuff but not much works together to make a meal.
I keep reading how it helps so much with the grocery budget. When I told Matt I had made a menu, he said he'd been listening to some audio tapes about finances on his commute, and they'd said the same thing. :)
I am liking knowing what to make ahead of time, too. I looked at the menu for tonight and it was comforting to know that we've got what we need in the house. :)
